Grant Management

Opportunity & Proposal Development

  • Identify a funding opportunity/RFP
  • Review the RFP, submission requirements, deadlines for negotiation and final submission, eligibility criteria, and required documents.

Check Portal Registration

  • Check whether proposal submission requires registration on a donor/supplier portal. Refer to the BIGD Registration List to confirm whether BIGD is already registered.
  • If registered, contact the Grant Management Team (Tasfia Tabassum Itu and Fatima Ara Khan) for the login credentials.
  • If not registered, contact the Grant Management Team to initiate registration.

Obtain RFP Documents

  • Contact the Grant Management Team if assistance is required to download the RFP or related documents from the portal.

Legal and Finance Review

Clarification/Negotiation Period

  • Where the RFP provides a clarification or negotiation period, share the documents with the Grant Management Team in advance to allow sufficient time to review and raise any issues.

Grant Management Support

  • Reach out to the Grant Management Team if you need support understanding donor requirements or during proposal development.
  • You can check out the past proposal directory here

Proposal Review & Submission

  • Once the proposal is drafted add the initial proposal to Airtable for internal review.
  • Submit the proposal to Airtable at least 2–3 working days before the donor submission deadline.
  • An email thread will be automatically generated through Airtable. Please use this thread to communicate updates or respond to comments from the Proposal Review Team.
  • The Research Team is responsible for the final submission to the donor.
  • The budget needs to be reviewed by the finance team before submission.
  • Any documents requiring the Executive Director’s signature should be shared with the Grant Management Team for coordination and processing.
  • If you need assistance with the donor portal or submission process, contact the Grant Management Team.

Important: Please allow sufficient time for internal review before the donor deadline.

After the Grant Has Been Awarded

  • Once the proposal is successful inform the Grant Management Team through the email thread generated by Airtable.
  • Add the Legal and Finance Team for contract/agreement review.
  • Complete the Grant Management Workflow through Airtable.

During Grant Implementation

  • Please contact the Grant Management Team before making any significant changes to an approved grant, including: Budget, Timeline, Scope of work, Deliverables, Key personnel, Reporting requirements, Extensions, Amendments to the agreement, and Subcontracting.

The Grant Management Team will coordinate with Legal, Finance and the Research/Program Team, as required.
